- AI Inbound Call Agents — voice-based AI systems that handle incoming telephone calls
- AI Outbound Call Agents — automated voice systems for lead follow-up, reminders, and outreach
- AI Lead Generation Automation — systems for identifying, contacting, and qualifying prospects
- AI Review Collection Automation — post-service follow-up systems to collect customer reviews
- Custom AI Consulting & Strategy — advisory services for businesses exploring AI adoption
The specific scope of any engagement is defined in a separate project agreement, statement of work, or proposal document agreed between both parties.
3. Eligibility
To engage our services or use this website, you must:

- Be a legally constituted business or a competent individual acting on your own behalf
- Have the legal authority to enter into a binding contract in your jurisdiction
- Not be prohibited by applicable law from receiving our services

4. Client Engagements
Project agreements
Every client engagement begins with a written project agreement, proposal, or statement of work that defines the deliverables, timeline, fees, and any specific conditions. These Terms of Service apply to all engagements unless explicitly superseded in writing.
Client responsibilities
For us to deliver your project successfully, you agree to:
- Provide accurate, complete, and timely information, materials, and access to platforms we need
- Assign a designated point of contact who can make decisions on your behalf
- Review and provide feedback on deliverables within the timelines agreed
- Ensure that any content, data, or materials you provide to us do not infringe any third-party rights
- Comply with all applicable laws in your use of the AI systems we build for you
Delays caused by client
If delays in your project are caused by your failure to provide information, feedback, or approvals in a timely manner, we reserve the right to adjust project timelines accordingly. Additional costs resulting from such delays may be charged at our standard rates.
Acceptable use of AI systems
You agree that AI systems built by Langford AI Labs will not be used to:
- Deceive, mislead, or defraud consumers or third parties
- Engage in harassment, spam, or unsolicited mass communications in violation of applicable law
- Discriminate against individuals based on protected characteristics
- Violate any applicable laws or regulations, including consumer protection and data protection law
- Generate, distribute, or process illegal content of any kind
5. Payment Terms
Fees
Our fees are agreed in writing prior to commencing work. We do not publish fixed pricing on our website — all quotes are tailored to your specific requirements.
Invoicing & payment
- Invoices are issued as agreed in your project proposal (typically upon project milestones or monthly for retainers)
- Payment is due within 14 days of the invoice date unless otherwise agreed in writing
- We accept bank transfer (BACS) and other payment methods as specified on your invoice
Late payment
Invoices not paid within the agreed terms may incur late payment interest at 8% per annum above the Bank of England base rate, in accordance with the Late Payment of Commercial Debts (Interest) Act 1998. We reserve the right to suspend services on accounts with overdue balances until payment is received.
Refunds
Due to the custom and time-intensive nature of our services, we do not offer refunds on completed work or work already in progress. Where we have failed to deliver agreed deliverables through our own fault, we will remedy this at no additional cost. Any refund arrangements are at our sole discretion and must be agreed in writing.
We offer a 30-day results guarantee on all engagements. If the agreed AI system is not functioning as specified within 30 days of delivery, we will fix it at no additional cost.
6. Intellectual Property
Our intellectual property
All content on the Langford AI Labs website — including text, design, graphics, logos, and code — is owned by or licensed to Langford AI Labs Ltd and is protected by UK and international intellectual property law. You may not reproduce, distribute, or create derivative works from our website content without prior written permission.
Your intellectual property
You retain full ownership of all content, data, and materials you provide to us. By sharing these materials with us, you grant Langford AI Labs a limited, non-exclusive licence to use them solely for the purpose of delivering your project.
Deliverables ownership
Upon receipt of full payment for a project, ownership of the custom AI systems and deliverables we build for you transfers to you. This excludes any proprietary tools, frameworks, methodologies, or pre-existing software we use in the build, which remain our property.
Portfolio & case studies
We may reference your business as a client and describe the type of work completed (without disclosing confidential information) in our marketing materials, website, and case studies, unless you request otherwise in writing.
7. AI-Specific Terms
AI technology has unique characteristics that require specific terms. Please read this section carefully.
AI accuracy & limitations
AI systems, including large language models and voice agents, can produce inaccurate, incomplete, or unexpected outputs. While we design and test our systems carefully, we cannot guarantee that AI systems will be error-free or perform identically in all real-world scenarios.
Important: AI systems must not be used as the sole basis for decisions that have significant legal, financial, medical, or safety consequences. You are responsible for implementing appropriate human oversight wherever required.
Third-party AI platforms
Our AI systems are often built on top of third-party AI platforms (such as large language model APIs). The performance and availability of these systems is subject to the terms and service levels of those third-party providers. We are not liable for downtime, changes, or failures caused by third-party AI platform providers.
AI model training
We will not use your business data, customer data, or proprietary information to train AI models without your explicit written consent. Any AI fine-tuning or training done on your behalf will be clearly specified in your project agreement.
Regulatory compliance
You are responsible for ensuring that your use of AI systems we build complies with all applicable laws in your jurisdiction, including but not limited to consumer protection law, data protection law, sector-specific regulations, and the EU AI Act where applicable. We can provide guidance but cannot act as your legal counsel.
8. Confidentiality
Both parties acknowledge that in the course of an engagement, each may receive access to confidential information belonging to the other. "Confidential Information" includes but is not limited to business strategies, financial data, customer data, technical systems, pricing, and any information marked as confidential.
Both Langford AI Labs and you agree to:
- Keep all Confidential Information strictly confidential
- Not disclose Confidential Information to any third party without prior written consent
- Use Confidential Information only for the purposes of the engagement
- Apply at least the same degree of care to protecting the other party's confidential information as to your own
These confidentiality obligations survive the termination of any engagement for a period of 3 years.
Confidentiality obligations do not apply to information that is publicly available through no fault of the receiving party, or that is required to be disclosed by law or court order.
9. Limitation of Liability
To the maximum extent permitted by applicable law, Langford AI Labs Ltd's total liability to you arising out of or in connection with these Terms or any engagement shall not exceed the total fees paid by you to us in the 12 months preceding the claim.
We shall not be liable for any of the following, whether arising from contract, tort (including negligence), or otherwise:
- Loss of profits, revenue, or anticipated savings
- Loss of business, contracts, or opportunities
- Loss or corruption of data
- Indirect, special, or consequential losses
- Losses arising from third-party AI platform failures, downtime, or changes
- Losses resulting from your failure to follow our recommendations or maintain AI systems properly
Nothing in these Terms limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
10. Disclaimer of Warranties
We warrant that our services will be performed with reasonable skill and care, in accordance with good industry practice.
Beyond this, and to the maximum extent permitted by law, Langford AI Labs provides its website and services "as is" and "as available" without any further warranties, express or implied, including but not limited to:
- Warranties of merchantability or fitness for a particular purpose
- Warranties that AI systems will be uninterrupted, error-free, or produce accurate results at all times
- Warranties regarding the results or outcomes that may be achieved through use of our services
Results described on our website (such as ROI figures, performance metrics, and case study outcomes) reflect specific client experiences and are not guarantees of the results you will achieve.
11. Termination
Termination by you
You may terminate an ongoing engagement by providing 30 days' written notice to hello@langfordailabs.com. You remain liable for all fees for work completed or in progress up to the termination date.
Termination by us
We reserve the right to terminate or suspend our services immediately and without liability to you if:
- You breach any material term of these Terms and fail to remedy the breach within 14 days of written notice
- You fail to make payment when due
- You use our services for unlawful purposes or in violation of our acceptable use policy
- You become insolvent or enter administration, liquidation, or a voluntary arrangement with creditors
Effect of termination
Upon termination, all outstanding fees become immediately due and payable. Sections covering intellectual property, confidentiality, limitation of liability, and governing law survive termination indefinitely.
12. Website Use
When using the Langford AI Labs website, you agree not to:
- Use the website for any unlawful purpose or in a way that could harm Langford AI Labs or third parties
- Attempt to gain unauthorised access to any part of the website or its underlying systems
- Transmit any malicious code, viruses, or disruptive data

Nothing in this clause prevents either party from seeking urgent injunctive or other equitable relief from a court of competent jurisdiction.
